Quick links
The Links page is a launchpad of shortcuts to the external tools your team uses every day — the HR portal, status pages, ticketing, payroll, anything with a URL. It appears in the sidebar for every signed-in user; what each person sees is up to you.
Manage it under Settings → Links (admins only). From 1.17.0 the same links also feed everyone’s Quick links on the dashboard, and the ones you choose appear on the sign-in page.
Adding a link
Section titled “Adding a link”Click Add link and fill in:
- Title and an optional description shown under it.
- URL — must be
http(s). Links always open in a new tab. - Category — pick one, or leave it in General.
- Icon — see below.
- Who can see it — Everyone, or only specific groups.
Categories
Section titled “Categories”Categories group links into sections on the Links page (“IT Tools”, “HR”, “Engineering”…). Create, rename, and reorder them in the Categories panel. Deleting a category never deletes its links — they move back to General.
Restricting a link to groups
Section titled “Restricting a link to groups”A link visible to Everyone shows for all signed-in users. Choose Only these groups to limit it to members of the groups you tick — the same groups you use for private spaces, whether created manually or synced from Microsoft Entra ID (enterprise). Admins always see every link.
The restriction is enforced server-side: the link, and its icon, simply do not exist for anyone outside the selected groups.
Each link can use one of three icon sources:
- Site icon (default) — CompassDocs visits the URL when you save and
caches the site’s favicon (it checks the page’s declared icons first, then
/favicon.ico). Use the ↻ button on a link to re-fetch after a site redesign. If nothing usable is found, the link shows a letter tile instead. - Workspace logo — your branded logo from Settings → Workspace, handy for internal tools.
- Upload an image — a custom PNG, JPEG, GIF, WebP, or ICO up to 1 MB. SVG is not accepted, for the same script-safety reason as attachments.
Clicks
Section titled “Clicks”From 1.17.0 each link’s row in Settings → Links shows how many times it was clicked in the last 30 days (“12 clicks”). A click is counted on the Links page, on a curated link in the dashboard’s Quick links (a person’s own links are theirs alone and are never counted), and on the sign-in page, where nobody is signed in yet, so the click is counted without a name.
- The link itself never changes. The browser follows the link’s real address and sends a small note to CompassDocs on the way out, so copying a link, hovering it or opening it in a new tab works as it always has. A middle click counts too.
- Only real clicks count. Clicks in the admin preview of the sign-in page are not counted. A person’s clicks count only on links they can see, and at most 30 a minute; the sign-in page counts at most 20 a minute from one address. Clicks over the limit are not counted, and nothing tells the person.
- Clicks are kept for 90 days, then deleted. When an account is deleted, its clicks stay in the counts but are no longer tied to anyone.
On the dashboard and the sign-in page
Section titled “On the dashboard and the sign-in page”Each link’s row has two switches, beside its clicks (1.17.0). Both apply at once, without Save, and both are written to the audit log.
- Dashboard puts the link in everyone’s Quick links, under From your admin. The link’s own visibility still applies: a link for some groups appears only for their members.
- Sign-in page shows the link on the sign-in page, before anyone signs in. Only a link visible to Everyone can go there: on a link restricted to groups the switch is disabled, with the tooltip “Only links for Everyone can go on the sign-in page.”, and the server refuses it too. Restricting a link that is on the sign-in page takes it off in the same save, and the edit form says so under the groups (“Restricting this link takes it off the sign-in page.”).
The audit log records Featured link on the dashboard
(link.dashboard_featured), Removed link from the dashboard
(link.dashboard_unfeatured), Added link to the sign-in page
(link.signin_shown) and Removed link from the sign-in page
(link.signin_hidden). A link taken off the sign-in page because it was
restricted to groups has reason: restricted_to_groups on that entry.
Quick links on the dashboard
Section titled “Quick links on the dashboard”From 1.17.0 the dashboard has a Quick links tile in its right column (see Your dashboard). It shows up to three groups, and a link appears only once, in the first group it belongs to:
- Pinned by you: up to 12 links you chose, in your order.
- From your admin: the links an admin turned Dashboard on for.
- Most used · last 30 days: up to four links you clicked most, each with its count. While you have few clicks of your own, the group is topped up with the links the most people in the workspace clicked, without counts, and when none of the links shown are your own it is headed Popular in your workspace instead.
A New chip marks a link an admin added in the last 7 days. All links → opens the Links page.
Pinning a link
Section titled “Pinning a link”Add a quick link (the + at the top of the tile, or the link at its foot) opens a dialog with two tabs:
- From the Links page: every link you can see, with a search box. Click Pin to add one; click Pinned to take it off again.
- Your own link: a Title (up to 60 characters) and an Address
that starts with
https://orhttp://(up to 2,000 characters), for a page nobody else needs.
The pencil at the top of the tile lets you move your pins up and down or remove them; a removal offers Undo. Done ends the editing.
- Only you see your pins. Pinning changes nothing for anyone else, and is not written to the audit log.
- Nobody sees a link they can’t see on the Links page. If a link you pinned is later restricted to groups you’re not in, it disappears from your tile and no longer takes up one of your 12 places. Deleting a link removes it from everyone’s pins, and deleting an account removes its pins.
- Pinning needs the Read quick links permission (
link.read), which every built-in role has.
On the sign-in page
Section titled “On the sign-in page”The links with Sign-in page on appear on the sign-in page’s artwork: the first eight, in the order they were added. On a screen 1024 pixels wide or more they sit on a frosted bar across the top of the cover, right of your logo, as buttons the same height as the logo; on anything narrower, on a row at the top of the band above the form. Either way the row scrolls sideways when there are more than fit. Each shows the link’s icon (its site icon, uploaded image or the workspace logo, else its first letter) and its title, and opens in a new tab. The forced password change at a first sign-in, and the sign-in page preview, show them too; see Sign-in page for how they sit on your artwork.
- They never get in the way of signing in. They come after the sign-in form for the keyboard and screen readers, are left out when the page is printed, and if they can’t be loaded the page simply shows none.
- They are public. Anyone who opens the sign-in page sees each link’s title, address and icon, so put only links there that you would show to a visitor. That is why a link restricted to groups can’t go there.
