Content review reminders
Documents rot silently — the on-call runbook that still references a decommissioned service, the policy nobody has re-read since it shipped. Review reminders put an expiry date on trust: pick a cadence, and CompassDocs nudges the right people when a document is due for a look.
Setting a schedule
Section titled “Setting a schedule”Anyone with edit rights on a document opens its Review schedule card in the side panel and picks a cadence — every month, 2 months, quarter, 6 months, or year. The card shows when the next review is due, who reviewed it last, and a Mark as reviewed button.
Two things reset the clock, each pushing the next review a full interval out:
- Mark as reviewed — you checked it, it’s still accurate.
- Editing the content — a real edit counts as a review automatically.
Drafts can carry a schedule, but reminders only start once the document is published.
When a review comes due
Section titled “When a review comes due”- The document shows a “Content review overdue” notice at the top (staff only — readers never see review chrome), with one-click Mark as reviewed for anyone with edit rights.
- Due documents appear in an amber “due for content review” block on the dashboard for editors, oldest first.
- Approvers and admins get an email — once per due date, not daily nagging. The message is an editable template like every other alert (Settings → Notifications → Email templates → Content review due).
The record
Section titled “The record”Schedule changes and completed reviews land in the audit log (Changed review schedule, Marked document reviewed), and the document itself shows “Last reviewed {date} by {name}” in its Review schedule card.
